What we collect, and why
When you contact us
Our contact form asks for your name, work email address, company, an indication of annual revenue, the area you are interested in, and whatever you choose to write in the message field. We use this solely to respond to your enquiry and, if it progresses, to discuss an engagement.
Enquiries are emailed to us and also stored on this website as a record of your contact with us, so that nothing is lost if an email fails to arrive. The record holds what you entered on the form, the page you sent it from and the date. The same details are copied into our CRM, Odoo, so we can follow the enquiry up.
When you take an assessment
This site offers a number of self-assessments. You can answer every question and see your result without telling us who you are.
If you ask for the detailed PDF report, we collect your name, your company if you choose to give it, and your email address. We store those alongside the answers you gave and the result, we email you the report, and we keep a copy of that report on this site. The same details, with a summary of your result, are copied into our CRM, Odoo, so that we can follow up.
Each assessment also offers an optional tick box asking whether we may email you about future assessments and services. It is never ticked for you. We record your answer either way, together with the exact wording you were shown and the time you gave it, so that we can evidence what you agreed to.
When you browse the site
Our hosting provider records standard server logs, including IP addresses, for security and reliability purposes.
If you consent to statistics cookies, Google Analytics collects information about how the site is used — pages viewed, approximate location, device and browser. This only happens after you accept. If you decline, or ignore the banner, no analytics cookies are set and no analytics data is collected.
The typefaces used on this site are served from our own domain. No request is made to Google Fonts or any other third-party font service, so your IP address is not disclosed to a font provider when a page loads.
Legal bases
- Responding to an enquiry — legitimate interests, namely responding to someone who has approached us about our services.
- Analytics cookies — consent, which you give or withhold through the cookie banner and can change at any time.
- Server logs and security — legitimate interests in keeping the site available and secure.
- Sending an assessment report, and keeping your answers — legitimate interests, namely responding to someone who has asked us for it. The form states, before you submit it, that we will email you a copy and keep one so we can follow up.
- Marketing email about future assessments and services — consent, given by ticking the box on an assessment, and withdrawable at any time by replying to any email we send or writing to info@operetic.com.
Who processes your data
We use the following providers. Each processes personal data on our behalf, under contract.
- Hostinger — website hosting, including server logs.
- Microsoft 365 — our email. Enquiries you send us are received and stored here.
- ZeptoMail (Zoho) — sends email generated by the website, such as your enquiry reaching our inbox. Processed in the European Union.
- Google Analytics — website statistics, only with your consent. See international transfers below.
- Complianz — records your cookie choices so we can honour them and demonstrate that consent was obtained.
- Odoo — our CRM, and the booking and live chat on the contact page. Every enquiry and every assessment report request is copied into it, with your name, your company, your email address and a summary of your result. The booking panel and chat load only if you open them, and not on an ordinary page view. Hosted in the European Union.
We do not sell personal data, and we do not use it for advertising or profiling.
International transfers
Google Analytics is operated by Google, which processes data in the United States. Those transfers rely on the UK Extension to the EU-US Data Privacy Framework and, where applicable, Standard Contractual Clauses. Analytics data is only transferred if you have consented.
Our email, transactional email and booking providers process data within the European Economic Area.
How long we keep it
- Enquiries and assessment records — kept for 24 months from your last contact with us, then deleted automatically, along with any report we stored for you. Getting in touch again, or taking another assessment, starts the 24 months afresh.
- If you become a client — we keep them for as long as we are working together and for six years after that, because we need the records for contractual and tax purposes.
- Analytics data — retained by Google for 14 months, the retention period set on our Analytics property.
- Consent records — kept for as long as required to evidence that consent was given.
- Server logs — retained by our host for a short period for security purposes.
Your rights
You have the right to ask us for a copy of the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time — for cookies, by using the cookie settings on this site.
Everything this website holds about you can be assembled, and erased, directly from the site, so we can answer a request of this kind quickly and completely.
To exercise any of these, email info@operetic.com. We will respond within one month.
If you are not satisfied with our response, you can complain to the Information Commissioner’s Office at ico.org.uk, or to your local supervisory authority if you are in the European Union.
